What Special Event Insurance Covers

Every carrier's policy wording differs a little. This is how special event coverage typically works, and where people most often get surprised at claim time.

Typically covered

The core protections in most policies.

  • Event liabilityGuest injuries and damage to the venue or someone else's property during your event, including legal defense.
  • Host liquor liabilityProtects you if alcohol is served and an intoxicated guest causes injury or damage. Many venues require it.
  • Cancellation and postponementReimburses non-refundable deposits and costs if a covered reason, like severe weather or a vendor failure, forces you to cancel.
  • Vendor and booth liabilityCoverage for festival and market vendors so you can meet the organizer's certificate of insurance requirement.
  • Additional insured endorsementsAdds the venue, property owner, or organizer to your policy as required by most contracts.

Usually not covered

The gaps worth asking about before you need them.

  • Known or forecast weatherOnce a storm is named or forecast, cancellation for that storm usually cannot be added. Buy early.
  • Change of heartCancelling because you changed your mind is not a covered reason.
  • Property you are sellingVendor liability does not cover your own inventory against theft or damage. That needs separate inland marine coverage.
  • Unlicensed activitiesOperating without required local permits can void coverage for related claims.

How far ahead should I buy event insurance?
As soon as you have paid your first deposit. Liability can often be written close to the date, but cancellation coverage has to be in place before any problem is foreseeable.
Do festival vendors need insurance?
Many host sites require vendors to carry general liability and name the site as an additional insured. Even where it is not required, a single customer injury at your booth could cost far more than the policy. See our festival vendor checklist.
Can I get coverage for just one day?
Yes. Single-day policies are common for weddings, parties, and one-day markets. Multi-day policies cover festivals and events that run across several days.
Does my homeowners policy cover a party at a rented venue?
Your personal liability may extend to some events, but venues usually require a separate certificate naming them as additional insured, and homeowners policies rarely include host liquor liability for rented spaces.
